Circulation Policies

Whether you're an avid library user or new to the Todd Wehr Memorial Library, it's important to be familiar with basic circulation policies . Below are some frequently asked questions regarding the borrowing and lending of library materials. If you have any questions on circulation policy, please feel free to ask at the circulation desk or call (262) 524-7175. Our circulation staff will be happy to assist you!

Who may borrow items?

Carroll University students, faculty and staff may borrow materials using a University Identification Card.

Community members may borrow materials by using a Community Borrower Card issued by the library annually for $25.00 a year.  Use is limited to the borrowing of Carroll University Library materials.

Friends of the library may be issued a Special Borrowers Card. The Carroll University Library NO LONGER participates in the InfoPass program.

We are happy to offer library access to our alumni with a valid Carroll ID. If you don't have a current alumni card, please contact the alumni office between 8:00 a.m. and 4:30 p.m. by calling 262-524-7237 or send an email to alumni@cc.edu. Please let the alumni office know how to contact you as they will need to notify you when your card is ready to be picked up; it will take approximately 2-3 days for the entire process. Your alumni card will be valid for a period of one year from the date it was issued. At the end of the one year period, you may re-instate your alumni card providing there are no monetary obligations to the library.

What may be checked out?

Books, music CDs, videos, and class reserve materials  may be borrowed from the Todd Wehr Library.  Carroll University ID cards must be presented at the time of check-out. You can check out up to 25 items at a time.

Reference materials, periodicals, newspapers, and special collection books do not circulate.

How to borrow

A valid Carroll University I.D. card  must be presented each time material is checked out. Patrons are responsible for all materials checked out with their identification card.   Materials are checked out at the Circulation Desk.

How long?

Most materials that circulate may be checked out for 28 days. Special circumstances may restrict the circulation of some materials. Videos, DVD's, and CD's circulate for 7 days unless they are on reserve.  Instructors may place items in great demand on reserve for shorter periods of time (see below). If an item is still needed at the end of the original 28-day period, it may be renewed for a similar loan period if no one has requested the item. Most materials may be renewed once. After one renewal, they are due within 28 days and cannot be checked out again until another 28 days has elapsed. Materials can either be renewed in person, online from the library homepage (using View Your Record ), or you may call to renew your materials by phone. The phone number is 524-7175.

The Library will not shorten the initial check-out period of any validly checked-out material, unless the item is needed for the Reserve Materials Collection. The names of those having materials checked out are never divulged. The online catalog indicates when checked-out materials are due. Ask a Reference Librarian or a Circulation Assistant for help in identifying this information.

Reserve materials

Some items in great demand are placed by instructors in the Reserve Materials Collection, which is stored behind the Circulation Desk. Reserve items will not be held for later pickup. Materials on 2-hour reserve are checked out during the day for two hours only, but may be checked out within two hours of closing to be returned within one hour of opening the next day the Library is open. ALL RESERVE MATERIALS MUST BE RETURNED TO THE CHECK-OUT DESK.

Request/Search

If an item is not found on the shelves, a search request may be filled out at the Circulation Desk. A request is required as well for items held in remote storage. If the material was checked out by a patron more than four weeks previously, he or she will be sent a recall notice requesting that the item be returned.

If the material is not checked out, a search for the item will be carried out once a week for four weeks. When the item is located or returned, the requesting patron will be sent a notice stating that the item is being held at the Circulation Desk.

If an item still has not been found after the four-week search period, the patron will be sent a notice informing him/her that the item is assumed to be lost. The patron may then wish to speak to a librarian about having a replacement copy added to the library collection.

Renewing books online

Go to My Library Record and type in your name and student ID number as directed. Once you are viewing your account, click on the button indicating the number of items you have checked out. You will then see a list of all titles in your account. Click in the box to the left of the title/s you would like to renew and click on the button labeled "Renew Selected Items." If you would like to renew all of your items at once, you may simply click on the button labeled "Renew All." Only one renewal is permitted for each item and the renewal period is the same as the original circulation period. If you are given any kind of error message in red letters, your item has not been renewed.

Overdue material notices

An item is overdue when it has not been returned within the specified loan period.

For the convenience of borrowers, notices will be sent when items become overdue. Failure to receive a notice does not alter the borrower's responsibility for an item.

Fines

Overdue fines will be charged at the rate of $.25 per day. The fine for overdue reserve material and periodicals is $0.50 for each hour whether or not the library is open.  When fines are paid at the time materials are returned, they are reduced by one half.  For example, if four overdue books are returned to the Circulation Desk, the desk worker will reduce the fine by half if the patron pays the fines at the same time they return the books.

Charges for lost items

Items overdue for more than 25 days will be declared lost. Charges for lost items include the cost of replacement now set at $50.00 plus a non-refundable $10 processing fee. The library reserves the right to charge more than $50.00 if the cost of a replacement exceeds $50.00.  These charges apply to each lost item. If a lost item is returned, only the accrued fine will be assessed. Charges for lost items will be transferred to the Business Office for collection 60 days after the due date.

Restriction of borrowing privileges and college records

If patrons do not clear obligations they have incurred, their borrowing privileges may be suspended and a hold may be placed on their college records.

Book drops

Book drops are available for the convenience of patrons who wish to return books during hours that the Library is closed. One is located outside the library entrance and the other is located in the lower level of the Campus Center.
